Please read these Terms & Conditions carefully before using our website or working with us. These terms are written to keep the process clear, fair, and professional for both Bea Flow and our clients.

1. Introduction

Bea Flow (“Bea Flow”, “we”, “our”, or “us”) provides website strategy, website design, WordPress development, content structure, launch support, and related digital services, primarily for interior designers and design-led studios.

These Terms & Conditions apply to your use of our website and to any services we provide, unless a separate written agreement, proposal, or contract states otherwise.

2. Acceptance of Terms

By visiting our website, contacting us, booking a consultation, requesting a quote, approving a proposal, making a payment, or working with us, you agree to be bound by these Terms & Conditions.

If you do not agree with these terms, please do not use our website or engage our services.

3. Services We Provide

Bea Flow may provide one or more of the following services, depending on the agreed project scope:

  • Website strategy and planning
  • Premium WordPress website design
  • Elementor or custom front-end section development
  • Portfolio, services, about, contact, and landing page design
  • Website copy structure and content guidance
  • Responsive design for desktop, tablet, and mobile
  • Basic SEO setup and page structure support
  • Domain, hosting, contact form, WhatsApp, or launch assistance
  • Website revisions, refinements, or post-launch support where agreed

The exact deliverables, timeline, payment terms, revision limits, and responsibilities will be confirmed in the proposal, quotation, invoice, or written communication for each project.

4. Consultations and Project Enquiries

We may offer free strategy sessions, discovery calls, website audits, or consultations. These calls are intended to understand your requirements and recommend possible next steps.

A consultation does not create a client relationship unless we both agree to proceed with a paid project or written service agreement.

We reserve the right to decline a project if it is not a suitable fit, outside our service scope, unavailable within our schedule, or not aligned with our business values.

5. Proposals, Pricing, and Payments

Project pricing is based on the agreed scope, complexity, timeline, deliverables, and level of support required. Prices may vary from project to project.

  • All prices, payment milestones, and due dates will be stated in the proposal, invoice, or written agreement.
  • A deposit or advance payment may be required before work begins.
  • Work may be paused if payments are delayed or not received by the due date.
  • Final files, website handover, or launch may be withheld until outstanding payments are cleared.
  • Any additional work outside the agreed scope may require a separate quote or additional fee.

Unless specifically stated otherwise, prices do not include third-party costs such as hosting, domains, premium plugins, stock assets, paid fonts, email tools, subscription tools, or paid integrations.

6. Client Responsibilities

To complete a project smoothly, you agree to provide accurate information, timely feedback, and all required materials within the requested timeline.

You may be responsible for providing:

  • Business details, service information, and project goals
  • Brand assets, logo files, colours, fonts, images, and references
  • Portfolio images, project descriptions, testimonials, and copy where applicable
  • Domain, hosting, WordPress, email, or third-party tool access where needed
  • Approvals, feedback, and decisions during the project timeline

Delays in providing required content, access, feedback, or approvals may delay the project timeline.

7. Content, Images, and Materials

You are responsible for ensuring that any content, images, videos, text, logos, brand assets, testimonials, or materials you provide are accurate, lawful, and that you have the right to use them.

Bea Flow is not responsible for copyright, trademark, privacy, licensing, or legal issues arising from materials provided by you.

If you ask us to use stock images, third-party assets, fonts, plugins, or paid tools, the licensing terms and costs for those assets may apply separately.

8. Revisions and Scope Changes

Each project may include a specific number of revision rounds or refinement stages, as stated in the proposal or written agreement.

Revisions must relate to the agreed project scope. Major design changes, new pages, new features, additional sections, extra integrations, copywriting, or structural changes may be treated as additional work.

If you request work outside the agreed scope, we will let you know whether extra time, fees, or a revised timeline are required.

9. Timelines and Delays

Project timelines are estimates based on the agreed scope, content readiness, feedback speed, and technical requirements.

We aim to meet agreed timelines, but delays may occur due to late feedback, delayed content, technical issues, third-party tool problems, payment delays, illness, emergencies, or circumstances outside our control.

Bea Flow is not responsible for losses caused by reasonable project delays or delays caused by third-party providers or client-side dependencies.

10. Website Launch and Handover

Before launch or handover, we may ask you to review and approve the website. Once approved and launched, the website is considered accepted unless there is a clear technical issue caused by our work.

After handover, you are responsible for ongoing website updates, hosting, backups, plugin renewals, domain renewals, security, and maintenance unless a separate support or maintenance agreement is in place.

11. Third-Party Tools, Hosting, and Plugins

Your website may rely on third-party services such as WordPress, Elementor, hosting providers, domain providers, analytics tools, email tools, form plugins, payment tools, or other integrations.

Bea Flow is not responsible for downtime, bugs, pricing changes, policy changes, security issues, plugin conflicts, or service interruptions caused by third-party providers.

You are responsible for maintaining active subscriptions, licences, hosting plans, domain renewals, and third-party accounts unless otherwise agreed in writing.

12. Intellectual Property

Unless otherwise agreed, once full payment has been received, you will own the final approved website content and design deliverables created specifically for your project.

Bea Flow may retain ownership of reusable systems, frameworks, processes, design methods, templates, code snippets, know-how, internal tools, and pre-existing materials used to create the project.

You may not resell, redistribute, copy, or claim ownership of Bea Flow’s internal processes, source methods, reusable components, or proprietary materials outside the agreed project use.

13. Portfolio and Marketing Use

Unless you request otherwise in writing, Bea Flow may display completed project work, screenshots, website links, testimonials, project summaries, or before-and-after examples in our portfolio, proposals, social media, or marketing materials.

We will not intentionally publish confidential business information, private client information, or sensitive project materials without permission.

14. Confidentiality

During a project, both parties may share business information, website access, documents, plans, creative references, or other confidential material.

We will take reasonable care to keep confidential information private and use it only for the purpose of delivering the agreed services.

Confidentiality does not apply to information that is already public, independently developed, required by law to be disclosed, or shared with permission.

15. Cancellations and Refunds

If you wish to cancel a project, you must notify us in writing. Any completed work, booked time, planning, design, strategy, development, consultation, or third-party costs may be chargeable.

Deposits, advance payments, and milestone payments may be non-refundable once work has started, unless otherwise stated in the proposal or agreed in writing.

If Bea Flow cancels a project for reasons unrelated to your conduct or payment delay, we may provide a fair refund for any paid work that has not yet been completed.

16. No Guaranteed Results

We design and develop websites with care, strategy, and conversion-focused thinking. However, we cannot guarantee specific business results, search rankings, traffic, leads, sales, revenue, enquiries, or client bookings.

Results depend on many factors outside our control, including your offer, pricing, market, location, portfolio quality, traffic sources, brand positioning, advertising, and follow-up process.

17. Limitation of Liability

To the maximum extent permitted by law, Bea Flow will not be liable for indirect, incidental, special, consequential, or business losses, including loss of revenue, profit, leads, data, goodwill, or opportunities.

Our total liability for any claim related to our services will not exceed the amount you paid to Bea Flow for the specific service giving rise to the claim.

18. Website Use

You agree not to misuse our website, attempt unauthorised access, interfere with website security, copy website materials without permission, use the website for unlawful purposes, or submit harmful, misleading, abusive, or spam content.

We may restrict access to our website or services if we believe there is misuse, abuse, fraud, security risk, or violation of these terms.

19. Privacy

Your use of our website and services is also governed by our Privacy Policy, which explains how we collect, use, store, and protect personal information.

20. Changes to These Terms

We may update these Terms & Conditions from time to time to reflect changes in our services, business practices, website, pricing, tools, or legal requirements.
